The review is unfair. Or perhaps it is painfully fair. Either way, your first job is not to win an argument in public. It is to work out what happened and choose a response that helps the next person decide whether to book.
You cannot remove a review from someone else simply because it damages your rating. A platform may remove it if it breaks its rules. That distinction matters: a precise report is useful; an angry account of why the guest was difficult usually is not.
Before you type, save the review and read the booking conversation. If a guest is still dealing with a real problem, help them now. The review dispute can happen separately.

What actually makes a review removable?
Look for a specific problem with the review, not a general feeling that the guest is being unreasonable. A threat to post a bad review for an unwarranted refund is different from a guest asking for a refund after the heating failed. A review of the wrong property is different from someone disliking the right property.
A lower score than the wording seems to justify is not, by itself, a removal case. Nor is a complaint about street noise automatically irrelevant because you do not control the street. Airbnb explicitly recognises subjective opinions and relevant circumstances outside a host’s control in its Reviews Policy.
Do not label a review fake just because you cannot find the name in your records. The booking may be under another name; a Google or Trustpilot reviewer may be describing an enquiry rather than a completed stay. Investigate before making a public allegation.

How to remove an Airbnb review
Airbnb can consider irrelevant or fake reviews, manipulation, extortion and prohibited content. Its retaliation rule is specific: the reviewer must have broken a policy, been told about that breach and then left a biased review because the breach was reported. A review following a damage claim is not automatically retaliatory. See Airbnb’s policy.
Use the review removal process from an eligible account, such as the listing owner or a full access cohost. Select the review and reason, explain the breach and attach supporting documents. A received review can be disputed at any time. Airbnb allows up to two removal requests for the same review and usually emails a decision within 48 hours. That is an estimate, not a deadline.
The 30 day removal window you may see elsewhere concerns a review you wrote, not a review you received.
How to remove a Google review
Google considers breaches such as fake engagement, impersonation, conflicts of interest, harassment and irrelevant content. Disagreeing with a customer does not establish a breach. Match your evidence to the Google content policy.
From your Business Profile, open the reviews and report the relevant one. The Reviews Management Tool and reporting guidance also explain how to track the decision. If Google finds no violation, the tool offers a one time appeal for eligible reviews. Google says evaluation typically takes several days.
Use the appeal to explain a missed policy point or supply relevant evidence, not to repeat that the rating is hurting the business.
How to challenge a Booking.com review
Booking.com’s content guidelines cover misleading material, threats, discrimination, irrelevant content and privacy breaches. A guest who arrived but did not complete the stay can still leave a relevant review. “They never stayed overnight” is not enough on its own.
Use the official content reporting route. Supply the content URL, exact property name, screenshot and evidence explaining the breach. The outcome email should explain any further options. Booking and refund disputes belong with Customer Support; they are not the same as a content removal request.
Do not assume the appeal process for somebody whose own content was removed is a second removal appeal for the property owner.
How to challenge a Trustpilot review
Open the review in your Trustpilot Business account and use the flagging action, selecting the reason that fits the Trustpilot business guidelines. An unfamiliar name or missing customer record does not prove that a review is fake. Apply the same standard to favourable and unfavourable reviews.
If you disagree with a flagging decision, use the appeal link in the decision email and provide the explanation and evidence. Trustpilot’s April 2026 process update says replies to those decision emails are no longer monitored.
A useful appeal identifies what was missed. It does not demand a clean rating because you pay for a business account.
Build the evidence before you submit.
Save a screenshot and a direct link to the review. Note the publication date, property and booking reference where relevant. Then put the important events in order. A short timeline makes it easier to understand what happened than twenty attachments with no explanation.
Keep the original conversation intact. Highlight the precise message that supports your report and include enough surrounding context to make its meaning clear. If photographs or maintenance records matter, explain when they were taken and what they show. A photograph of a clean room taken after a guest left does not establish how it looked when they arrived.
Remove unrelated personal information before uploading. Airbnb specifically says not to provide government IDs, health information or details about children or criminal history in a review removal request. Keep booking records and contact details out of your public response. See Airbnb’s evidence guidance and Google’s advice on replies.

A review removal request you can adapt
Replace every bracketed field. Use the policy wording that actually fits your case and quote only the relevant part of the review. Do not invent a threat, a booking history or a rule breach to make the request stronger.
If the request is declined, read the reason. Where the platform offers an appeal or another request, use it for a specific missing fact or policy point. Repeatedly opening identical cases is not a substitute for evidence. Keep helping the guest and prepare a calm response while the decision is pending.
If the review stays, write for the next guest.
You are unlikely to change an angry reviewer’s mind in a public reply. You can show a future guest that a real person checked the issue and took it seriously.
Acknowledge the specific concern, explain what you established and say what you have actually done. If something is still being investigated, say that. Move any booking details into the platform’s private messages. Keep it short enough that the useful part is not buried under a defence of the business.
“We are sorry you feel that way” addresses the guest’s feelings rather than the failure. “Nobody else has complained” does not answer what happened here. A description of the guest’s behaviour, payment details or personal circumstances can make your reply more damaging than the original review.

A useful reply beats a public argument.
Illustrative complaint: the guest arrived to a cold property.
We have hundreds of happy guests and you should have read the instructions. This review is unfair.
It questions the guest and tells the next reader nothing about the heating.
I’m sorry the flat was cold when you arrived. We found a fault with the heating timer and replaced it. We now check the heating before each arrival.
Use wording like this only if the fault, repair and new check are all true.
A negative review response template
Use this as a starting point, not a script to paste under every complaint. An accurate sentence about the property is worth more than a paragraph about your commitment to excellence.
If a claim is wrong, correct the relevant fact once and politely. For example, explain the parking arrangement that was advertised. Do not paste a booking conversation into the reply to prove a point. Google’s response guidance recommends protecting privacy and being honest about what you can do. Airbnb explains how to post a public response; check the finished wording before publishing.
What if you cannot identify the reviewer?
Leave room for an honest mistake. This wording asks for enough information to investigate without publicly accusing somebody of lying.
The recovery happens in the next stay.
Give the underlying issue to somebody who can fix it. If the complaint was about a dirty oven, check the cleaning handover. If it was about an unanswered message, check who was responsible at that time. Close the loop by checking the work, not just marking a task complete.
Sometimes the property was exactly as advertised but the important detail was too easy to miss. Bring the stairs, street noise, sleeping arrangement or parking restriction into the opening description and relevant photographs. Keep requesting honest feedback consistently from eligible customers, including those who had a problem. Do not buy reviews, offer discounts for changing a rating or send only happy customers to a public review page. Google prohibits incentives and selectively seeking positive reviews in its content policy.
Use the review process appropriate to the booking platform. In particular, Airbnb generally prohibits asking guests to review their Airbnb stay on another website, with an exception for approved hotel partners. Do not turn your Airbnb follow up into a blanket Google or Trustpilot invitation. See its policy on external feedback and reviews.
Then look for a pattern. One person disliking a firm mattress may call for a clearer description. Several guests reporting the same failed check in probably call for a different process. Responding well is useful. Stopping the same complaint from recurring is better.
