Who it is for
Private landlords and property managers recording damp, mould, heating faults or other reported problems in a rented home.
What is inside
The report page records when the issue was raised, where it is, what the tenant says and any immediate protective action.
The contractor brief records the inspection requested, access arrangements, agreed attendance and the findings needed before deciding the work.
The completion page records the actual work, dated evidence, what remains outstanding and the follow up with the tenant.
When to use it
Start a record when a tenant reports a problem. Act on any immediate danger before completing paperwork.
Update the same record after an inspection or repair, and check whether the reported problem has actually been resolved.
Frequently asked questions
Does this set the legal repair deadline?
No. Urgency depends on the actual hazard and the duties that apply. The October 2026 consultation on private rental Awaab’s Law deadlines has not made those proposed deadlines current law. Do not wait for a form or a future rule before addressing an urgent problem.
Is a photograph enough to diagnose damp or mould?
No. Record what the image shows and when it was taken, then arrange the investigation the circumstances need. Do not assume condensation or tenant behaviour is the cause.
Should I record a tenant’s medical history?
Keep only the relevant information needed to respond safely and arrange access. Do not put an unrelated medical history or other unnecessary sensitive information in a repair record.
